Alumni Admissions Volunteer Agreement

The success of the Alumni Admissions Volunteer program depends on a network of volunteers serving in a variety of roles. This volunteer agreement has been established to help the Office of Admissions and Recruitment fulfill its mission to support the goals and priorities of the University of Wisconsin–Madison. Below are the expectations and responsibilities of Alumni Admissions Volunteers, which can be fulfilled using the resources available in the Alumni Admissions Volunteer portal.

  1. General Overview:
    • All Alumni Admissions Volunteers must commit to work together in the best interests of the Office of Admissions and Recruitment and the university, and not for personal, political, third-party or financial gain.
    • Being an Alumni Admissions Volunteer with the Office of Admissions and Recruitment does not impact the application review of a personal or professional acquaintance.
    • All registered Alumni Admissions Volunteer names, phone numbers and email addresses may be viewed by other volunteers.
    • Failure to return items from the Office of Admissions and Recruitment for volunteer activities are subject to billing for the cost of the item or items (this includes tablecloths).
  2. Qualifications
    • Graduate of UW–Madison (Required)
    • Not a private educational consultant or agent for current and/or prospective applicants
    • Effective communicator
    • Enthusiastic about UW–Madison
  3. Responsibilities
    • Learn volunteer expectations as outlined by the Office of Admissions and Recruitment and review training material in preparation for volunteer participation
    • Build knowledge on the UW–Madison experience and the current undergraduate admissions process
    • Conduct self in a professional, respectful, and considerate manner as an ambassador of UW–Madison
    • Abide by NACAC Statement of Principles of Good Practice, in particular:
      1. accurately represent and promote UW–Madison
      2. members will not disseminate inaccurate or misleading information about other secondary schools, colleges, organizations, or individual professionals
      3. not offer or accept any reward or remuneration to influence an admission, housing, scholarship, financial aid, or enrollment decision
  4. Description of Duties: Volunteers may be asked to participate in a variety of recruitment activities. These activities include but are not limited to:
    • College Fairs: Volunteers staff college fairs and provide information on the application process, academic resources as well as share their own Wisconsin Experience.
    • Admissions Events: Admissions events are an opportunity for Alumni Admissions Volunteers to provide insight into what it means to be a Badger, sharing both their student and alumni experiences. Volunteers are able to participate on alumni panels, assist with check-in, and mingle with guests.
    • Alumni Connections: Volunteers connect with prospective students via phone to congratulate them on their admission, share their experience as a Badger, and answer any questions they have about UW–Madison.
  5. Insurance:
    • This agreement creates an official volunteer position with the University of Wisconsin–Madison. As such, all volunteers will be covered by the State's liability protection program so long as s/he is performing duties within the scope of the description provided above.
    • Volunteers are not covered by the state's worker compensation program. Volunteers are encouraged to maintain their own health insurance.
    • If a volunteer should be injured during the course of activities and the injury result from the negligence of a University employee or agent, s/he would have the same legal rights to seek compensation as would any visitor to the campus.
  6. Mandatory Reporting Requirement of Child Abuse and Neglect
    • Executive Order #54 (EO 54) requires the reporting of child abuse or neglect. As a UW–Madison employee or a UW–Madison volunteer expected to have regular contact with minors, you are required by EO 54 and campus policy to immediately report child abuse or neglect to Child Protective Services (CPS) or law enforcement if, in the course of employment or volunteer activities, you observe an incident or threat of child abuse or neglect, or learn of an incident or threat of child abuse or neglect, and you have reasonable cause to believe that child abuse or neglect has occurred or will occur.

  7. Confidentiality:
    • Confidential information is all information that the Office of Admissions and Recruitment considers to be confidential, personally identifying or proprietary information of the office or third-party sources. Confidential information may include, but is not limited to:
      1. Information about name, mailing address, email, phone, degree, date of birth, identification numbers, ethnicity, event registration, and event participation.
      2. Information about prospective, admitted, enrolled and continuing students.
    • Confidential information also may include, but is not limited to, unpublished or pre-released versions of Office of Admissions and Recruitment or third-party documents, emails and information, internal-use-only or limited-circulation documents and information, and contact information for alumni volunteers.
    • Volunteer agrees to not disclose any confidential information, and not appropriate, distribute, photocopy, reproduce, or replicate any confidential information without written consent of the Office of Admissions and Recruitment.
    • Volunteer agrees that any list or aggregated confidential information provided is for one-time use only, and only for the intended and approved purpose. An additional approval from the Office of Admissions and Recruitment may be required. Proprietary or confidential information is not to be referenced in or used to construct communications, unless permission is granted from the Office of Admissions and Recruitment.
    • Volunteer agrees to follow all Office of Admissions and Recruitment policies and procedures, state and federal law, to respect the wishes governing use of confidential data, as communicated to the Office of Admissions and Recruitment and the university or affinity partners or through third-party sources.
    • Volunteer agrees that the Office of Admissions and Recruitment is the sole determinant of what information will be shared.
    • Volunteer understands that, as a volunteer with the Office of Admissions and Recruitment, s/he may be held personally liable for any misuse of confidential information.
    • Volunteer agrees not to use any confidential information for his/her own benefit or that of his/her employer.

Volunteer understands and agrees to the expectations and responsibilities outlined in this agreement. Failure to adhere to this or any other university policy may result in termination of the volunteer relationship at the discretion of the University.
